We are looking for a highly organized, service-oriented, and detail-focused Operations Coordinator to support the day-to-day operational needs of the organization. This role is responsible for overseeing mobile devices and plans, coordinating office supplies and refreshments, maintaining company records and archives, and providing ongoing administrative and operational support. The ideal candidate is proactive, customer-focused, and able to effectively manage multiple tasks while working with internal stakeholders and external vendors. This is a full-time position; the coordinator will Report to the Israel Indirect Procurement and Facilities manager.

Responsibilities

Cibus Card Administration

  • Manage the allocation and tracking of Cibus cards for employees.
  • Maintain and update data in relevant systems. · Handle employee inquiries related to Cibus services.
  • Ensure compliance with company policies and procedures.

Mobile Devices and Telecommunications Management

  • Manage company mobile devices, subscriptions, and related accessories.
  • Coordinate the ordering and delivery of mobile devices to employees.
  • Activate, suspend, and update mobile subscriptions as needed. · Arrange international mobile plans for employees traveling abroad.
  • Manage lost, stolen, or damaged devices in coordination with employees and service providers.
  • Update user information within mobile service systems.
  • Maintain inventory of backup devices and related equipment.
  • Provide ongoing support and service to employees in Israel and internationally on mobile-related matters.

Company Vehicle Invoice Administration

  • Monitor and review company vehicle invoices.
  • Ensure invoice accuracy and compliance with company policies.
  • Handle traffic violation reports, transfers of liability, and payment processes.
  • Create purchase orders and coordinate related payments when required.

Office Supplies and Refreshments Management

  • Manage ongoing orders of kitchen supplies, refreshments, and office consumables.
  • Work closely with maintenance and cleaning staff to identify inventory needs and shortages.
  • Track deliveries and approve supplier invoices.
  • Resolve issues related to missing, damaged, or defective products.

Requirements

  • At least 3 years of work experience in office Administration. 
  • Knowledge of office software tools (MS Word, Outlook, Google).
  • Experience with Priority system as a User
  • 12 Years of education (high school education)
  • First degree- Advantage
  • Great communication skills in Hebrew and English
  • Strong interpersonal and communication skills.
  • Ability to build relationships across departments, work collaboratively, and manage conflict constructively.
  • Ability to remain agile and multi-task effectively in a fast-paced environment.
  • Capable of prioritizing tasks/duties as assigned.
  • Very high service orientation.
  • Detail-oriented and accurate.
