As the Supply Operations Specialist, you play a pivotal role in ensuring the seamless flow of pharmaceutical products across the supply chain while maintaining compliance with regulatory requirements and company standards.

Responsibilities

  • Act as the primary point of contact for assigned suppliers, fostering effective communication and collaboration.
  • Develop and manage delivery and inventory plans to meet sales targets while optimizing inventory turnover, coordinating with internal stakeholders and external suppliers to ensure timely delivery and proactively addressing potential delays
  • Create, monitor, and manage purchase orders (POs) with suppliers to ensure timely and accurate deliveries.
  • Collaborate with suppliers to resolve discrepancies, delays, or changes in POs.
  • Maintain accurate records of POs, amendments, and related documentation.
  • Track and manage incoming shipments, ensuring accurate advanced shipping notices (ASN) and delivery schedules.
  • Coordinate with suppliers, freight forwarders, customs brokers, and transportation teams to resolve shipping issues.
  • Monitor and manage transportation costs while ensuring timely delivery of goods.
  • Enter goods receipts into the system and ensure accurate and timely data updates.
  • Coordinate with warehouses to address discrepancies and maintain inventory accuracy.
  • Reconcile inventory data from various sources and locations owned by the company to ensure consistency and accuracy.
  • Work with suppliers, finance, and receiving departments to reconcile discrepancies in invoices and deliveries.
  • Set up and maintain item, supplier, and planning system data within the MRP/ERP system.
  • Ensure all activities comply with GxP standards and company policies.
  • Maintain accurate records of procurement, planning, and supplier interactions in the ERP system.
  • Participate in supply chain/operations project teams as required.
  • Identify opportunities to streamline supplier operations and improve cost efficiency without compromising quality or compliance.
  • Analyze and report performance metrics for measurement, comparison, or evaluation of factors affecting the supply chain (On-time delivery, Inventory, Turns, etc.).
  • Assist, support, and provide backup coverage for all Supply Chain team members.
  • Performs other related duties as assigned.

Requirements

  • Bachelor’s degree (diploma in business administration, supply chain, or any related discipline)
  • Minimum 3 years of experience in Supply Chain in the healthcare sector, coordinating and supporting the entire supply chain
  • Good understanding of GDP, quality, technical and regulatory requirements.
  • Strong negotiation and problem-solving abilities.
  • Hands-on approach and curiosity, can-do and positive attitude
  • Fluent English is mandatory
  • Excellent verbal and written communication skills
  • Very good planning & organisation skills
  • Proficiency in ERP/MRP systems (e.g., SAP, Oracle) and planning techniques.
  • Advanced Microsoft Excel skills for data analysis and reporting
