Responsibilities
You will be responsible for the general administrative work within a fast paced, high performing team based in Poland.
This will include varied tasks such as:
- Management of calls, enquiries and requests, expense authorization
- Reporting back to the Line manager with detailed and accurate notes
- Undertaking projects on a regular basis, including event planning
- Organizing both internal and external meetings
- Organizing travel itineraries
- Providing support to relevant colleagues, including new employee’s orientation
- Working closely with relevant colleagues to ensure the smooth running of the business, including the maintenance of office stock and supplies and regular database updates
- Assisting with purchasing
- Management of equipment purchasing from collecting demands, agreeing with management and execution of purchase.
- Management of process of invoice payment from tracking through submission for payment and archiving
- Relationship management with 3rd parties (car lease company, IT support, health care service provider)
- Providing report to OGYÉI about events organized by contracted Pharma companies and Medison in time
- Participation in coordination and execution of National Congresses, Local Own Events and advisory boards
- Responsible for local archiving processes
Requirements
- Educated to a degree level
- Experience in a similar position
- Good knowledge of pharma industry
- Experience in organizing pharma events
- Excellent written and verbal communication skills
- Competent with Microsoft Office
- Fluent English knowledge with both written and spoken
- Able to use your own initiative to work with minimal supervision
- Dedicated to the quality and accuracy of projects from inception to completion
- Can manage changing priorities in a busy workload with strict deadlines
- Excellent organizational skills
- Flexible and willing to take on ad-hoc tasks
- Comfortable working independently and as part of a team
